Patron Profile

The Patron Profile screen provides demographic information about the patron as well as contact information. This is where a note is added to a patron record. To add a note to a patron’s record, click on the Edit tab for the Notes field toward the bottom of the screen.

Adding a Patron Note to a Patron Profile

This opens up a note field where information can be added. The note type defaults to patron. Make sure to select staff rather than public.

Any information can be added to a patron note. For example, a note can be added alerting staff that a patron has signed the Reserve Agreement Form. In order for the note to “pop-up” it must be prefaced by an exclamation point (!). After entering the information in the note field, be sure to click the Save button underneath the note. The Save button turns light red when the cursor is over it.

A new screen pops up to let staff know that the note has been added to the patron's record. Click the OK button to return to the patron's profile.

The pop-up note will be displayed in the patron's Checkout record/screen. If you get the message that the Notes were successfully updated, but do not see the note in the Checkout screen, refresh your browser.

Deleting a Note from a Patron Record

To delete a note from the patron record, open the patron profile and click Edit on the Notes tab. Place the cursor on the button under the note you wish to delete. The button turns red. Click to delete. Don't forget to click Save!

 

 

Best Practices for Entering Notes

  • Always add the initials of your campus 
  • Whether a note is Staff or Public, never put anything in a note you wouldn’t want the patron to see!
  • Though WMS records the name of the staff who entered the note and the date the note was entered, if someone later modifies the note that information changes. For this reason, always record your campus, initials, and date with every note.

 

Adding More Notes to a Patron Record

You can add as many notes as you want to a patron's record. Simply return to the patron's profile screen and click Edit on the Notes tab.. This will open a second note field so that a new note may be added. Add the new note and click the Save button.

Below is an example of how a pop-up note appears when you open a Patron Record. To fully open the Patron Screen click Close button.
